• Mobile phone is a necessary evil in any business environment today. But its use must be regulated and monitored. If not controlled, mobile can be a source of wasted productivity in the company.
• If an employee is going to need to use a mobile phone for work related communication, it is advisable to give them a company’s number with a SIM registered in the name of the company. Print this mobile number (along with the other fixed line numbers of the company) on the employee’s visiting card, if it is printed for him.
• Let the employees use a mobile handset of their choice (at their own expenses), unless the company wants them to use a specific type of device. In that case, the company must provide that device. Otherwise, in all other cases, it is advisable to let them use their own device to avoid maintenance hassles.
• Restrict the use of mobile for work related communication only. Unless restricted, a mobile can provide numerous distractions.
• Monitor and discourage or prohibit the use of mobile phone for pastime or personal messaging purposes (like using WhatsApp, Hike, Telegram, WeChat, SnapChat etc.) at least during working hours.
• If the employees bring their personal mobiles to the office, it must be switched off or silenced and the employees must be restricted from their use during work hours. In such a case, to ensure the employees’ accessibility, they should be encouraged to use company’s fixed line phone for receiving or making calls, in case of an emergency.
• Some recent mobile Apps provide excellent group communication. Make use of them for monitored and controlled communication within company groups.
